Privacy Policy

Vision Tech Solutions LLC ("we," "us," or "our") operates viztekpro.com and provides IT infrastructure, AI automation, cybersecurity, private cloud, business systems, and digital marketing services to small and mid-size businesses primarily in Southwest Florida. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it.

This policy applies to information collected through our website, our contact form, and our business phone and SMS system. By using our website or contacting us, you acknowledge the practices described in this policy. If you have questions at any time, please use the contact details in Section 11.

1. What Information Do We Collect?

Personal Information You Provide to Us

We collect personal information that you voluntarily provide when you interact with us:

  • Contact form. When you submit our contact form, we collect your name, email address, company name (if provided), and the contents of your message. This is the primary way prospective clients initiate a relationship with us.
  • Phone calls and text messages. When you call or text one of our business lines — SW Florida: (239) 310-2626 or Tampa Bay: (727) 591-7835 — we collect your phone number and the content of your communication. Our phone system is powered by Twilio (see Section 8). If you leave a voicemail, that recording and its transcription are retained in our system.
  • Email correspondence. If you email us directly, we collect your email address and the contents of your message.

Information Automatically Collected

When you visit viztekpro.com, certain technical data is automatically transmitted by your browser or device to our web server. This includes:

  • IP address — logged by our server on each page request
  • Browser type and version — e.g., Chrome 124, Safari 17
  • Device and operating system — e.g., Windows 11, iPhone iOS 17
  • Pages visited and time on site — which pages you viewed and in what order
  • Referring URL — the page or search engine that directed you to our site
  • Date and time of each request — recorded in standard server access logs

We do not currently run a third-party analytics platform. If we add one (such as Google Analytics), we will update this policy before doing so.

Communication Records

Our Twilio-powered phone system automatically generates records when you interact with our business lines. These records may include call logs (caller number, duration, timestamp), SMS message content and metadata, voicemail audio recordings, and AI-generated voicemail transcriptions. Standard carrier messaging and data rates may apply to text messages.

2. How Do We Use Your Information?

We use the information we collect for the following specific purposes:

  • Respond to your contact form submissions and inquiries in a timely manner
  • Return missed calls and follow up on voicemails left on our business lines
  • Send automated SMS confirmations when you contact us outside of business hours
  • Schedule and conduct free IT assessments with prospective clients
  • Deliver IT infrastructure, cybersecurity, and other contracted services to active clients
  • Improve the performance, content, and usability of our website
  • Maintain internal business records and service documentation
  • Comply with applicable legal obligations under Florida and federal law
  • Detect, investigate, and protect against fraudulent, unauthorized, or illegal activity

We do not use your information for unsolicited marketing or advertising. If you become a client, we may send you service-related communications — you can opt out at any time by replying to any email or calling us.

3. Do We Share Your Information?

We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes. We share information only in these limited circumstances:

Service Providers

We work with a small number of vendors who process data on our behalf and are contractually required to protect it:

  • Twilio, Inc. — Powers our business phone lines, SMS messaging, voicemail recording, and transcription services. Twilio processes call and message data as our service provider. See Section 8 for details and a link to Twilio's privacy policy.
  • Google LLC — Our website loads Plus Jakarta Sans and JetBrains Mono fonts from Google Fonts servers, which causes your browser to contact Google's infrastructure. See Section 7 for details.
  • Hosting provider — Our website is hosted on a dedicated server. Our hosting provider may have incidental access to server logs as part of infrastructure management.

Legal Requirements

We may disclose your information when required to do so by law, subpoena, court order, or other governmental or regulatory authority, or when we have a good-faith belief that disclosure is necessary to protect our legal rights, prevent fraud, or protect the safety of our team, our clients, or the public.

Business Transfers

If Vision Tech Solutions LLC is involved in a merger, acquisition, asset sale, or other business transfer, your personal information may be transferred as part of that transaction. We will notify you via a prominent notice on our website before your information becomes subject to a different privacy policy.

We will never:

  • Sell, rent, or trade your personal information to third parties for their marketing
  • Share your data with data brokers or advertising networks
  • Use your information for any purpose beyond what is described in this policy without your consent

4. How Long Do We Keep Your Information?

We retain personal information only as long as reasonably necessary for the purposes described in this policy or as required by law. Our specific retention periods are:

  • Contact form submissions — retained as active business leads until the inquiry is resolved or the contact is no longer a prospective client, after which records are reviewed annually and purged if no longer needed
  • Call and SMS logs — retained for up to 12 months for service quality, billing accuracy, and dispute resolution
  • Voicemail recordings — retained for up to 90 days, then automatically purged from our phone system
  • AI conversation history — phone and SMS conversations processed by our AI assistant are automatically purged after 90 days via a nightly retention process. Conversation data is encrypted at rest using industry-standard database encryption.
  • Voicemail transcriptions — retained alongside call logs (up to 12 months)
  • Server access logs (IP address, page visits) — retained for up to 30 days, then overwritten or deleted during routine log rotation
  • Active client records — retained for the duration of the service relationship plus a minimum of 3 years as required for business and legal records

You may request early deletion of your information at any time (see Section 6). Deletion requests are honored unless a legal, regulatory, or legitimate business obligation requires us to retain the data.

5. How Do We Protect Your Information?

Security is at the core of what Vision Tech Solutions LLC does — we hold ourselves to the same standard we set for our clients. The measures we use to protect your information include:

  • HTTPS encryption. All pages on viztekpro.com are served exclusively over HTTPS with TLS encryption. Plain HTTP connections are automatically redirected to HTTPS.
  • Reverse proxy and firewall. Our server is protected by Nginx and Traefik reverse proxies with strict access controls and rate limiting.
  • API authentication. Any internal data endpoints are protected by API key authentication and are not publicly accessible.
  • Twilio webhook signature validation. All inbound Twilio webhooks are cryptographically validated to prevent spoofed requests.
  • Access controls. Access to systems containing personal information is restricted to authorized personnel only, on a need-to-know basis.
  • Encryption at rest. Databases containing personal information (such as contact records and conversation history) are encrypted at rest using SQLCipher, an industry-standard full-database encryption extension for SQLite. Encryption keys are managed through a dedicated secrets management system.
  • Dedicated infrastructure. Our website runs on a dedicated server — your data is not co-mingled with other businesses on shared hosting.

Despite these measures, no method of data transmission or storage is completely secure. We cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you in accordance with applicable law.

6. Your Privacy Rights

Rights Available to All Users

Regardless of where you live, you may contact us at any time to exercise the following rights:

  • Right to access. Request a copy of the personal information we hold about you and information about how it is used.
  • Right to correction. Request that we correct inaccurate or incomplete personal information.
  • Right to deletion. Request that we delete your personal information. We will honor deletion requests unless we are required to retain the data for legal, regulatory, or legitimate business purposes.
  • Right to opt out of communications. Opt out of any non-essential communications from us at any time.

California Residents — California Consumer Privacy Act (CCPA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act of 2018 (CCPA), as amended by the California Privacy Rights Act (CPRA):

  • Right to know. You have the right to know what categories of personal information we have collected about you, the categories of sources, the business or commercial purposes for collection, the categories of third parties we share it with, and the specific pieces of personal information we hold.
  • Right to delete. You have the right to request deletion of your personal information, subject to certain exceptions.
  • Right to correct. You have the right to request correction of inaccurate personal information we maintain about you.
  • Right to opt out of sale or sharing. We do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of in that regard.
  • Right to limit use of sensitive personal information. We do not use or disclose sensitive personal information beyond what is necessary to provide our services.
  • Right to non-discrimination. We will not discriminate against you — in pricing, service quality, or any other way — for exercising any of your CCPA rights.

To submit a CCPA request, contact us using the methods in Section 11. We will verify your identity and respond within 45 calendar days. If we need more time, we will notify you and explain the reason.

How to Exercise Your Rights

Submit a privacy request by emailing info@viztekpro.com with "Privacy Request" in the subject line, or call us directly at (239) 310-2626. Please include your name, how you contacted us previously, and a description of your request so we can locate your information and respond efficiently.

7. Cookies and Tracking Technologies

We use minimal tracking technologies. Here is a complete disclosure of what we do and do not use:

What we use:

  • localStorage (consent preference). If our cookie consent banner is displayed, your preference (accept or decline) is stored in your browser's localStorage so we do not prompt you again on return visits. This does not track you across sites.
  • Session behavior. Standard server-side logging records page visits and technical browser data as described in Section 1. This is not cookie-based.

What we do not use:

  • Advertising cookies or tracking pixels from Meta, Google Ads, or any ad network
  • Cross-site tracking or behavioral profiling
  • Third-party analytics cookies (we do not currently run Google Analytics or similar tools)

8. Third-Party Services

We use the following third-party services in connection with our website and business operations:

Twilio, Inc.

Twilio powers our business phone lines, SMS messaging, voicemail recording, and voicemail transcription. When you call or text (239) 310-2626 or (727) 591-7835, your call or message is routed through Twilio's platform. Twilio may process your phone number, call duration, message content, and other communication metadata as our data processor. Twilio is headquartered in San Francisco, CA, and is subject to U.S. law. You can review Twilio's privacy practices at twilio.com/en-us/legal/privacy.

Self-Hosted Fonts

Our website self-hosts the Plus Jakarta Sans and JetBrains Mono typefaces. Font files are served directly from our own infrastructure, so no requests are made to third-party font delivery networks and no data is shared with external providers as part of font loading.

Future Third-Party Integrations

If we add analytics tools, live chat, scheduling software, or other third-party services that collect personal information, we will disclose them in this section before activation. We do not currently use any advertising networks, retargeting services, or data brokers.

9. Children's Privacy

Our website and services are directed exclusively at businesses and adult decision-makers. We do not knowingly collect or solicit personal information from anyone under the age of 16. Our services are not designed for, marketed to, or intended to be used by minors.

If you believe we have inadvertently collected personal information from a child under 16, please contact us immediately at info@viztekpro.com and we will promptly delete the information upon verification.

10. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our business practices, the services we use, or applicable law. When we make changes, we will update the "Last updated" date at the top of this page.

For material changes — such as adding a new category of data collection, a new third-party service, or significantly altering how we use your data — we will post a prominent notice on our website homepage for at least 30 days before the change takes effect. We encourage you to review this page periodically.

Your continued use of our website after changes are posted constitutes your acknowledgment of the updated policy. If you disagree with the changes, please discontinue use of our website and contact us to request deletion of your information.

This Privacy Policy is governed by the laws of the State of Florida, without regard to conflict of law principles.
